Profile Systems Explained UC Irvine School of Medicine Faculty Directory The primary academic profile system used across all School of Medicine websites. Purpose: Houses academic profile information for School of Medicine faculty. Integrated Updates: Syncs with central databases to streamline profile information and minimize manual updates. Management: See Requesting New Profiles and Updating a Profile sections below for step-by-step instructions. UCI Profiles Platform An open-source research networking platform built to foster online collaboration among academic researchers across institutions. Purpose: Helps users find experts, discover research connections, and explore scholarly work like publications, grants and clinical trials. Integrated Updates: Syncs directly with the School of Medicine Directory and updates in UCI Profiles automatically reflect in both systems. Management: Updated directly by faculty (or designated proxies) within UCI Profiles. System data and feeds are supported by the Profiles team and the School of Medicine Decision Support Services team. UCI Health Clinical Profiles A patient-facing provider directory for UCI Health providers. Purpose: Connects patients with clinical care providers across the UCI Health system. Management: Operated exclusively by the UCI Health enterprise. Update Requests: Submit updates through the Intranet Application/Website Updates and Enhancements form (select the UCIHealth.org radio button option under Type). UC Irvine Faculty Profile System The central, campus-wide directory for UC Irvine that operates independently from the School of Medicine. Purpose: Serves as the main campus profile directory for all UCI faculty. Directory Separation: Independent system; changes made here will not display on School of Medicine websites. Management: Self-serve system. Faculty or designated representatives can create and update profiles via the "For Faculty" page on the campus directory site. Requesting New Profiles Select the appropriate pathway below based on the type of profile you need to create. UCI Profiles Platform To set up or request onboarding support for a new UCI Profile: Review Resources: Visit the UCI Profiles help documentation to learn more about the platform. UCI Profiles Help & FAQ School of Medicine Faculty Directory Steps for creating a new School of Medicine academic profile: Submit a Request: Fill out our web request form with the faculty member's Name, Email, Degree(s), Photo and Academic Working Title(s) and Associated Departments/Divisions. Initial Setup: The Digital Communications team builds the core profile shell (processed in 1-2 business days). Data Sync: Remaining profile sections populate automatically from integrated databases. Submit a Web Edit Request Updating a School of Medicine Faculty Profile Profile details are managed through two distinct update pathways. Faculty profile diagram mapping profile fields to internal updates (blue diagonal lines) and external updates (yellow hatching pattern). Internal Updates – Blue Section Fields: Name, Post-Nominal Degree(s), Photo and Academic Working Title(s) Update Method: Managed internally by the Digital Communications team. These requests are usually processed within 1-2 working days. Submit an Update Request External Updates – Yellow Section Fields: Education, Affiliations, ORCID, Lab links, Clinical Profile links, Research Interests, Publications and Clinical Trials. Update Method: Updated directly by faculty or a designated proxy within external integrated systems. See the detailed instructions below for field-specific update steps. Sync Timeline: Changes made in UCI Profiles can take up to two weeks to sync and display on live School of Medicine profile pages. How to Make Updates in External Systems Click to expand the sections below for formatting rules required to ensure your data syncs accurately to your School of Medicine profile page. Education & Degrees Rule: The directory only displays degree abbreviations approved by Academic Affairs. Action: For the Degree field, please choose from this degree list. Home Department & Joint Appointments (UCPath) Rule: Home department affilations are pulled directly from official UCPath records. Action: If your primary department or joint appointments appear incorrectly, contact your department HR business partner to update your position records in UCPath. ORCID iD Rule: Profile updates for ORCID iDs are managed centrally through the UCI Profiles platform. Action: Log in to UCI Profiles, navigate to Edit Menu > ORCID id, enter your 16-digit ID into the field, and click Save and Close. Please note: A known web bug is currently preventing ORCID iDs from displaying on live School of Medicine profile pages. The data is properly saved in the system and will appear on your profile page once the fix is deployed. Links (Clinical Profile & Lab Website) Rule: Custom link titles entered in UCI Profiles will not map to your School of Medicine profile page. The Title field must use specific, exact labels for the backend data sync to recognize them. Action: Go to Edit Menu > Websites > Add Websites(s) and set your link titles exactly as follows: Lab Website (for your laboratory or research site) Clinical Profile (for your provider directory page) Please note: Disregard the prompt on the UCI Profiles screen about custom website names. Straying from the above exact titles will prevent your links from rendering on the school site. Research Interests & Keywords Rule: Research Interests are populated automatically from PubMed. Key terms from publication data are used to generate a list of each faculty member's research interests. These can be overridden by manually updating them. Action: To manually add, remove, or reorder your research interests, enter new terms in the text box under Keywords in UCI Profiles. Enter interests in the order you would like them to appear. Publications & Clinical Trials Publications Rule: Publications automatically populate via PubMed based on their author matching settings. Action: If you notice missing or incorrect publications, please follow these UCI Profile steps to correct your scholarly activities. Clinical Trials Rule: Active and historical clinical trials pull automatically from clinicaltrials.gov. Action: If a trial is missing or shows incorrect information, ensure you are properly listed as an investigator on the trial record. Contact the UCI Health Clinical Trials Business Development team for support. Please note: If you want to add publications or clinical trials that are not part of the repositories, you may manually add them in the appropriate UCI Profile sections. Due to ongoing development, manually entered clinical trials may not update immediately on your School of Medicine profile, but will appear once development is completed. Bio (Overview) Rule: The School of Medicine faculty directory caps this section at 2,000 characters. Action: Consider limiting your UCI Profile entry to ensure your entire bio is displayed on your school profile page. Please note: Due to ongoing development, Bio (Overview) content may not immediately appear on your School of Medicine profile, but will appear once development is completed. Questions?
