This process will involve comprehensive content and structure updates, enhanced user experience and design. Website Template A basic website template that provides a structure for content and design and serves as a foundation for creating a UCI School of Medicine clinical department website. A Multi-Stage Redesign & Migration Our phased approach allows us to efficiently address each website's unique requirements and ensure a seamless transition for stakeholders. Stage 1 – Cascade 7 (C7) Websites On March 31, 2024, campus OIT retired the Cascade 7 (C7) Content Management System, and all C7 sites were set to “sunset” status (read-only, no edits possible). We have partnered with vendors to help review, update and migrate content from existing C7 department websites to new UCI School of Medicine Drupal platform microsites. Once the sites are migrated, the old C7 sites will be shut down. Below are the statuses of both basic science and clinical department website migrations. The Digital Communications team has contacted all of these sites' stakeholders and either completed website migrations or is currently working with them on a migration plan. Stay tuned... more information is coming soon! Scope Project Objectives Revitalize and migrate school websites into a unified, modern, and visually appealing web platform. Departments, programs, centers, institutes and lab websites using UCI's Cascade 7 CMS as their primary active website will be given priority, as the campus decommissioned the Cascade 7 platform in March 2024. Stakeholders will work with the School of Medicine Digital Communications Team and website content vendors to audit the existing website structure and content, make revisions and build new websites. Build new websites for school websites. Basic science and clinical department microsites will be built on the Drupal CMS within the UCI School of Medicine website. Programs, centers, institutes, lab websites, etc., will be evaluated and built on the Drupal CMS or a UCI Sites WordPress website. Stakeholders will work with the School of Medicine Digital Communications Team and vendor to: Conduct a current site audit. Define their site goals and objectives. Develop a site map that outlines the main sections, subpages and their relationships. Update, develop and refine content for the website. Plan for a smooth migration of content from the old site to the new site (i.e., maintain content on the old site while building the new site). Transform the site map and content into a functional website using the existing Drupal or WordPress CMS theme and features. Coordinate the launch of the new site and redirect/decommission of the old site. Existing Cascade 7 websites will be given migration priority. Specific dates will be integrated into a schedule based on available resources. In Scope Provide project management templates and repeatable processes to ensure timely and transparent transitions. Help source and incorporate multimedia (images and video) to make the website more engaging and informative. Design and build pre-configured website templates with sample pages ready to be populated with content. Guide stakeholders to refine and adapt their website copy to ensure it's engaging and effective in the online environment. The Digital Communications team and vendor will: Help stakeholders to understand their audience. Review, revise, distill and streamline their content. Enhance clarity and readability. Add Calls to Actions (CTAs). Ensure consistency and brand voice. Proofread. Address bugs that are identified during the build and quality assurance (QA) phases of the site migrations. Coordinate with UCI Health and UCI IT departments to decommission old websites. Content editor training for stakeholders (TBD) Out of Scope Designing and developing new website features or functionality. Writing new copy without input from the stakeholder. Stakeholder input is encouraged to ensure the new site reflects updates and changes relevant to your department. If stakeholders do not collaborate on writing new copy, content from the old website will be migrated to the new platform. Building non-Drupal or UCI Sites WordPress stand-alone websites. The School of Medicine website design and development phase is complete. Once all websites are migrated, there will be an opportunity to explore creating new designs and features identified during this project. Creating web-accessible attachments, such as PDFs, for website use. Creating new videos to showcase on the website. Deliverables Website Development Pre-configured site templates with sample pages ready to be edited. A functional, populated website for each stakeholder that utilizes the existing Drupal or UCI Sites WordPress CMS theme and features and aligns with UCI branding guidelines, giving the website a cohesive and modern look and feel. Content Integration Populating the new websites with content and multi-media assets. Quality Assurance Review content completeness, accuracy, spelling, grammar and UCOP accessibility standards. Test for broken links. Deployment Schedule a deployment date. Coordinate with UCI Health and Campus IT teams to properly redirect and decommission old sites.
